Plain rules, applied fairly. The app is free; the optional add-ons are billed monthly and can be cancelled any time — and if money ever moves in error, it comes straight back.
1. The app is free
PracProof is free for founding users — NHLS lab results, the medicines formulary, calculators, the ICU reference, and the full documents suite with QR verification, at no charge and with nothing to cancel. Document verification is free for everyone, with no account. Nothing you use today will ever move behind a paywall.
2. The paid add-ons and what they cost
Two optional add-ons are sold separately, each covering one prescriber: AI Scribe at R299 per month (400 recorded consultations and 500 AI Research questions a month) and AI Scribe Pro at R599 per month (800 recorded consultations and 1,500 AI Research questions a month). AES e-signature at R249 per month is coming soon and cannot be bought yet. Prices include VAT where applicable and may change with notice on the website before your next renewal.
3. How billing works
Add-ons are billed monthly, in advance, by card through Paystack, and only on the PracProof website — the phone apps do not sell anything, show prices, or take payment. Your subscription is tied to the email address of your PracProof account, and the add-on unlocks in the app automatically once the payment is confirmed. We never see or store your card details.
4. The free AI trial
Every doctor may start one 14-day AI Scribe trial in the app — 20 recorded consultations and 20 AI Research questions — with no card and nothing to cancel. It never converts into a paid plan by itself: when it ends, the AI features simply switch off until you choose to subscribe, and everything you recorded stays yours.
5. Cancelling
You can cancel an add-on at any time from My account → Your plan & add-ons. Cancelling stops the next charge and ends the add-on immediately — access does not run to the end of the month, and the unused part of the current month is not refunded pro-rata. Your notes, documents and everything else in the app are unaffected. If you cancel by mistake, subscribe again on the website and the add-on unlocks straight away.
6. Duplicate or erroneous charges
If you were charged twice, charged for an add-on you did not subscribe to, or charged after cancelling, we refund the charge in full, promptly and without argument. Email admin@pracproof.co.za from the address on your account with the word "Refund" in the subject line and the approximate charge date. We respond within 5 business days; approved refunds go back to your original payment method and typically reflect within 5–10 business days, depending on your bank.
7. If a renewal payment fails
If your card is declined at renewal, your plan is paused rather than cancelled: the add-on keeps working for 5 days from the first failed charge while the payment provider retries your card, and you can update the card from My account → Your plan & add-ons on the website. If no payment goes through in that time, the add-on switches off until it does. You are never charged twice for the same month.
8. Upgrading between AI plans
If you move from AI Scribe to AI Scribe Pro, the AI Scribe plan is cancelled automatically the moment Pro activates — you are never billed for both. The unused part of the AI Scribe month is not refunded; the bigger allowance applies from your next recording.
9. Your statutory rights
Nothing in this policy limits any right you have under South African consumer protection law. If you believe a charge is wrong, contact us first — almost everything is resolved with one email.
