PracProof helps you reach and read your patients’ NHLS Labtrak/TrakCare results, run clinical calculators, and prepare prescriptions and sick notes. It accesses Labtrak using your own credentials and shows results sourced from Labtrak — it does not alter the underlying laboratory data.

You confirm you are a clinician registered with the HPCSA and that you access only the records of patients in your care, using your own Labtrak login. You are responsible for the lawful, ethical use of the app and of any data you view through it.

Calculators, readability features and AI explanations are informational aids only. They are not a diagnosis or a medical device, and they never replace your clinical judgement. Always verify values against the original result and confirm dosing and decisions independently.

Patient results, prescriptions, sick notes and your Labtrak credentials are stored on this device, encrypted, and can be cleared by you at any time. We do not store patient-identifiable information on our servers in readable form: if you choose to share records with your own practice team, they are end-to-end encrypted on your phone first, so our servers only ever relay and store data we cannot decrypt (see the privacy policy). The optional AI features are the other exception to “nothing leaves the device”: when you choose to use them, information is sent to our AI provider to do the work and is not kept after your document is drafted. When drafting a document from your typed notes, the patient’s identifiers are removed on this device first. The features that cannot be de-identified — recording a consultation, and photographing a sticker or a report — send the audio or photo as-is. This processing may take place outside South Africa, on a tier that is not used to train AI models. Every AI use is optional (there is always a manual alternative), requires the patient’s consent, and produces a draft that you review, correct and sign.

Result data is read electronically and may occasionally be incomplete or misread. Anything the app cannot read confidently is flagged for you to check against the source. You remain responsible for verifying any value before acting on it.

Documents you generate are drafts built from the details you enter. You are responsible for their clinical correctness, for confirming medication doses, and for signing and issuing them in line with HPCSA and pharmacy requirements. Dosing suggestions are standard adult starting points only and must be adjusted to the individual patient.

Your patient records live encrypted on your own device — that is the app’s privacy design, and it also means you are the keeper of those records. The HPCSA expects practitioners to retain records for at least six years, and the app gives you the tools to do that: a one-tap encrypted backup file you can store in your own cloud storage or email, and end-to-end encrypted practice sharing. You are responsible for making regular backups, for storing them safely, and for remembering your backup passphrase — by design we hold no copy of your data or your passphrase, so we cannot recover either for you. To the extent permitted by law, we accept no responsibility or liability for any loss of information or patient data, however it occurs — including a lost, stolen, damaged or reset phone, deleting or reinstalling the app, a forgotten backup passphrase, failing to make or test backups, connectivity or synchronisation failures, or events beyond our reasonable control. Nothing in these terms excludes any liability that cannot lawfully be excluded.

The app is provided “as is”. To the extent permitted by law, we are not liable for clinical decisions made using the app, for any inaccuracy in data retrieved from Labtrak, or for any loss of data as set out in section 7. Your use of the app is at your own professional discretion and risk.

The app itself is free for founding users. Two optional add-ons are sold separately, each covering one prescriber: AI Scribe (R299 a month — 400 recorded consultations and 500 AI Research questions a month) and AI Scribe Pro (R599 a month — 800 and 1,500). AES e-signature (R249 a month) is coming soon and is not yet on sale. Add-ons are billed monthly in advance by card through Paystack, only on the PracProof website — the phone apps sell nothing and take no payment. You may cancel at any time from My account → Your plan & add-ons: cancelling stops the next charge and ends the add-on immediately, without a pro-rata refund of the current month. If a renewal payment fails, the add-on is paused and keeps working for 5 days while the card is retried; update your card on the website to continue. A duplicate or erroneous charge is refunded in full — email admin@pracproof.co.za. The free 14-day AI trial needs no card and never converts into a paid plan by itself. We may update these terms and the app’s features. Continued use after an update means you accept the revised terms. We will not introduce third-party advertising into the clinical workflow.
